Privacy Policy – your personal information

This privacy policy explains how the Population Registry uses information about you to process your application for a passport, identity card, birth certificate, death certificate, certificate of permanent residence or certificate of origin.

Types of information collected and used

The Population File collects the following information directly from you:

  • contact address
  • email address
  • telephone number

The Population File collects the following information about you from CY Login:

  • user name in Cy Login
  • email address
  • ID number

The Population File uses the following information about you from its own records:

  • full name
  • your date of birth, gender, nationality and the community to which you belong
  • contact address and email (if applicable)
  • telephone number (if applicable)
  • date of death (if applicable)
  • full name, maiden name, patronymic, nationality, place and date of birth, sex, relationship to applicant and date of death for: children, parents, parents, grandparents and, if the applicant is male, grandchildren (if applicable).

If you leave comments on Help us improve the service, the following information is also collected:

  • your level of satisfaction with the use of the service
  • your opinion and suggestions on how we can improve the service.

Why the Population Registry uses your information

This information is collected and used for the publication of the document you have selected. In the case of an application for an identity card or passport, the Civil Registry examiners use it to process your application.

Without access to this information, the Population Registry cannot process your application.

If you leave comments on Help us improve the service, we will use them to assess how users feel about their experience of using the service. This is to find and prioritise areas for improvement and to get ideas for new developments.

How your personal information is stored

Your information is stored securely on servers based in Cyprus.

Your rights

Contact lmarkidou@papd.mof.gov.cy if you want:

  • receive a copy of the information held about you
  • restrict the processing of your data
  • correct or update your personal information
  • object to the processing of your personal information
  • transfer your information to another organisation or to you.

Complaints

You can complain about the way your personal information has been used by contacting the Office of the Data Protection Commissioner.
